Gas Safety Certificate Renewal Rules for Landlords

A landlord gas safety check is not simply a certificate to file away. It carries an annual deadline, tenant-copy duties and a useful early-check window. Here is the practical England position, based on Health and Safety Executive guidance.

The check is due every 12 months

A Gas Safe registered engineer must check gas appliances and flues that a landlord provides within 12 months of installation and at intervals of no more than 12 months after that. The record normally shows the appliances checked, the results and the engineer’s details.

Treat the existing deadline as the anchor date. Do not rely on remembering the month or assuming an appointment date is the same thing as the legal deadline.

You can usually arrange the check up to two months early

HSE guidance allows an annual check to be completed in the two months before the deadline while preserving the existing renewal date. For a deadline of 31 March, for example, that retained-deadline window opens on 31 January.

This flexibility is useful when engineer availability is tight. Keep the previous record so the retained date can be demonstrated, and use the actual rules rather than simply adding 12 months to any early appointment.

Give tenants the record and keep your copy

Existing tenants should receive a copy of the gas safety record within 28 days of the check. A new tenant should receive the current record before occupying the property. HSE guidance also requires landlords to retain records for at least two years.

Keep evidence of delivery and reasonable attempts to arrange access. A tenant refusing access does not authorise forced entry; document the steps taken and follow the correct process.

Build a reliable renewal process

Record the legal deadline, book inside the early window and store the new record against the correct property. Set more than one reminder so a cancelled appointment does not consume the whole safety margin.
